Medicaid Remittance-to-Invoice Automation

500p → 150 — One PDF in, an invoice per provider out

A home & community care company paid through Medicaid receives a 500+ page remittance PDF every pay cycle (service lines, codes, units, paid/denied status) that used to be turned into invoices by hand — a multi-day job that broke past 150 providers. We built a pipeline on Zapier + PDF.co + Google Drive/Sheets + DocsAutomator: the team emails the file or drops it in a folder, PDF.co parses all pages (looping/delays to avoid timeouts), every service line is matched to the right provider from the company's roster (provider IDs handled as text so leading zeros survive; unmatched IDs flagged, never guessed), units convert to hours (4 units = 1 hour) with per-team billing rules (amounts for staff, hours-only for agency), and DocsAutomator generates one invoice per provider filed automatically — plus a management hours summary and a denial report that pulls every refused claim with its official reason out of the back pages. Runs in the client's own accounts; all portfolio figures/content are synthetic.
