Intake-to-Workshop Workflow

6 → 1 — Six personal boards, one live source of truth

A six-person classic vehicle restoration shop was drowning in manual intake and invisible workloads. Inquiries arrived through whatever channel the client chose with no consistent capture, tasks were handed out in meetings and lived in six separate heads, and the shared board filled with finished work nobody cleared. The owner wanted the software to keep up with the garage, not the other way around. We built a system where one Typeform (or a forwarded Gmail message) becomes a fully populated Trello job card, auto-assigned to the right craftsman on arrival. The shared shop board and six personal boards mirror both directions in real time via Zapier — move or complete a card anywhere and it updates everywhere, with a built-in error handler that re-finds and retries so nothing is lost. Completed work auto-archives every Sunday, keeping the boards showing live work only. Built entirely in the client's own accounts.
