AI Quote-to-Booking Pipeline

10 sec — Owner's review — the pipeline does the rest

A mobile auto painter ran the whole business himself, and every quote pulled him out of the paint. Customers submitted damage photos through the website, then everything stopped until he personally reviewed them, priced the job by hand, wrote and sent the quote, answered replies, and negotiated a date over phone and email — with no follow-up when he was under a car and no tracking of where inquiries stood. The business had demand but no room to grow. We built a pipeline where one Formstack submission (vehicle details + damage photos) triggers an OpenAI vision model that reads the panels and drafts an estimate under his exact pricing rules — panel-specific rates, the touch-up-versus-full-refinish decision, and the premium clearcoat upgrade — assembled into a branded PDF quote. He reviews and approves in his existing Mobile Tech RX job system (the source of truth), and approval alone triggers the rest: a Cal.com scheduling link against his live availability, branded email/text confirmations at every stage, and the lead logged end to end. The AI does the admin per quote; he does the ten seconds of judgment. Built entirely in the client's own accounts.
