Minutes — From brief to client-ready budget
A film & video production company priced every shoot by hand — a producer sitting with a spreadsheet, looking up industry rate cards line by line, estimating crew and equipment, and assembling the document. It cost hours per brief, budgets varied by whoever built them, there was no standard client-facing format, and when rate cards updated the copied spreadsheets went stale. We built an engine that keeps the producer's judgment and removes the assembly: a brief marked ready in their board triggers an n8n + OpenAI workflow that reads the brief and a single live rate-card board, allocates costs across the four standard categories (Above the Line, Production Expenses, Post-Production, Other), applies tiered director/producer fee logic by production size, and populates a branded, totalled, client-ready template in minutes — a draft the producer reviews rather than constructs. Rates live in exactly one place, so an update there propagates to every future budget. Built entirely in the client's own accounts.
